TAXMANager features

TAXMANager is a tax payment collection tracking system in which identification number- or bar-coded coupons are sent to payers as part of the statement. TAXMANager simplifies and speeds processing payment coupons. Number- and bar-coded coupons, along with their accompanying checks, are input into a system using high-speed check scanners.

How TAXMANager works

When the coupons are returned with the check, TAXMANager reads the scanned barcode, or OCR's the numerical code, detects the schedule (customer) number and amount due, and creates a "paid in full" or "amount not matching" transaction.

Multiple payment types handled

The batch is scanned in one of four ways: full payment, one check; full payment, multiple checks; partial payment, one check; and partial payment, multiple checks.

Images of checks and payment schedules are filed for personal review by an operator who verifies payment amounts and billing amounts, checks the batch total and certifies the batch for upload to a _self receivables system if desired, where final edits take place.

Use of high speed scanners

Checks and payment schedules are scanned by specialized Italian check scanners (the Ferrari of check scanners) which can scan 30+ checks/coupons a minute. One scanner operator can keep four reconciler workstations busy.

Increased efficiency

The net effect is that five people can do the work which formerly required nine or ten people to process receivables.

Links to _self

Images are stored on an image server (NetWare, TCP/IP, netbios) for later retrieval if questions arise, and for immediate answers to customers questions. Database inquiry is hotkey linked to Reflection, Client Access, Rumba and other typical AS/400 terminal programs in order to allow seamless access to images from a _self terminal screen.

Enhanced cash flow

This system was designed for use by county property tax collectors, who experience a flood of payments at tax due date(s) which overwhelms the staff. Prompt deposit of taxes collected improves interest accumulation and cash flow.
